Job Details
Position Summary
This position will provide support to the Executive Assistant of the President of Eagle and continuous communication and coordination of tasks and special projects across Eagle.
Essential Responsibilities
- Provide administrative support to the Executive Assistant.
- Handle incoming calls and respond to inquiries.
- Assist with coordinating all aspects of appointments, meetings, and conference calls as needed.
- Plan and coordinate all aspects of trade shows/conferences for Eagle as an exhibitor.
- Prepare and review materials and correspondence for meetings.
- Know deadlines and anticipate the resources (materials and individuals) needed.
- Represent the President and company when addressing the public, vendors, and internal departments.
- Assist with research and compiling information from various sources for preparing management reports.
- Explain and apply corporate policies and procedures.
- Analyze situations accurately and adopt an effective course of action under tight time deadlines.
- Welcome guests by greeting them, in person or on the telephone; answering or directing inquiries.
- Understand impact of schedule changes and takes actions to adjust.
- Ability to defuse potentially stressful situations with diplomacy and calm.
- Assist with creation or modification of presentations, spreadsheets, and other various documents.
- Coordinate frequent travel arrangements; both international and domestic
- Prepare, reconcile, and track expense reports through the system as needed.
- Organize and secure highly confidential company and employee information.
- Coordinate small to large meetings and catering events with internal and external invitees.
- Prepare meeting minutes and Board resolutions, as required.
- Serve as back-up support for other managers or administrative staff, as required.
- Assist with laboratory compliance and laboratory safety audits.
- Participate in team discussions and assist in achieving team goals.
- Special projects as assigned by the executive assistant.
Qualifications
- Bachelor’s Degree is a plus.
- Three plus years of administrative experience supporting executive level managers.
- Recent experience working with a variety of office equipment, i.e., scanners and printers.
- Must be detail and process oriented.
- Ability to work in a collaborative team environment.
- Excellent customer service skills.
- Excellent verbal and written communication skills.
- Excellent organizational and project management.
- Excellent multi-tasking, relationship management and problem-solving skills.
- Advanced skills in Microsoft Word, PowerPoint, and Outlook
- Intermediate level computer skills in Excel, SharePoint
- Experience in a Good Manufacturing Practice (GMP) environment a plus
