Summary

Performs general facilities duties including contact building maintenance vendors as needed, distribute mail, order supplies, accept deliveries and help maintain a clean and professional work environment.

Responsibilities

  • Facilities oversight, contact building maintenance vendors as needed, assist with upkeep of the office including monitoring the A/C, light bulb replacement, and general office comfort
  • Coordinate with vendors including equipment suppliers, maintenance contractors, technical contractors, while considering time and budget
  • Maintain a clean and professional environment including conference rooms, front lobby and kitchen areas 
  • Work closely with Manager, Lab Operations to receive lab supplies and assist in lab repairs as needed
  • Ensure copy machines/printers are in working order and stocked with paper
  • May negotiate favorable rates with new and existing vendors, as needed
  • Order, stock and replenish snacks, tea, coffee, beverages, etc. through appropriate vendors and place items in refrigerator, cabinets, etc.
  • Order, inventory and distribute office supplies
  • Accept food deliveries and set up lunches for all onsite employees
  • Retrieve mail from mail delivery area and distribute; assist with shipping and receiving documents/items via overnight mail
  • Assist with special projects and other duties as assigned  

 

Experience and Qualifications

  • Associates degree (AS/AA) from two-year college or technical school preferred
  • 2 or more years experience working in a professional office environment preferred

Skills and Abilities

  • Ability to communicate professionally and effectively, orally and in writing, with the ability to manage a high volume of interactions with employees and external contacts, vendors (via phone, email, in person, video conferencing, etc.)
  • Ability to coordinate and synchronize multiple projects and maintain consistency and quality of documentation in a fast-paced multi-task environment
  • Ability to adapt to rapidly changing priorities and manage deadlines and deliverables
  • Proficiency in Microsoft Outlook, PowerPoint, Word, Excel, Teams, and other MS Office products; ability to learn various other software programs
  • Collaborate with the team and contribute successfully to cross-functional teams
  • Ability to function in a regulated environment and handle confidential data
  • Ability to lift heavy equipment (up to 25 pounds) and comfortable standing, bending, or walking for long periods at a time
  • Ability to work Monday through Friday, 8:30 AM to 5:00 PM and available after hours as needed

The expected base pay range for this position is $70,000 - $85,000 plus bonus, equity, and comprehensive benefits. The base pay range reflects the target range for this position, but individual pay will be determined by additional factors such as job-related skills, experience and relevant education or training. This range may be modified in the future.
