Senior Executive Associate (Flex Commuter / Hybrid)

What you will do

Lets do this! Lets change the world! In this role you will report to the Senior Vice President of Quality. The Senior Executive Associate (SEA) will be responsible for providing senior level administrative support as follows:

  • Proactively manage executives calendar with a focus on efficient time utilization and exert judgment in time conflict management, ensuring the SVP is appropriately represented at all forums

  • Lead and/or manage initiatives and programs from the SVP office as needed

  • Assist Executive on Board of Directors activities, including preparation, logistics, changes

  • Manages and coordinates SVPs logistics (flights, transportation, location) for site visits with the Operations Leadership Team (OLT), Operating Team and Quality Leadership Team.

  • Understand the scope and business of Global quality (spanning the overall enterprise), including business priorities, understanding criticality of meetings to enable independent judgment and decision making.

  • Answer questions/furnish information to keep the executive's time free of minor detail work, including screening and directing incoming meeting invitations, calls, and correspondence as needed

  • Plan and organize work to ensure the executive has appropriate time to perform their core duties and to be present on time and prepared for their commitments

  • Coordinate arrangements for and complete key tasks to effectively manage a variety of global business meetings applying latest technologies

  • Conserve executives time by acting as a delegate within some of Amgens systems and processes as allowed by delegation requirements, as well as initiating calls and teleconferences

  • Review, prioritize and flag high priority communications (emails and documentation)

  • Oversee SVPs Leadership Team meeting agendas; gather appropriate documents (i.e. pre-reads, presentations, etc.), issue agenda and pre-reads to Meeting participants. Prepare the SVP with pre-read and briefing documents two business days in advance of daily meetings.

  • Coordinate extensive domestic and international travel arrangements amidst dynamic business requirements

  • Preparation and processing of expense reports ensuring compliance with company policies

  • Maintaining uptodate distribution lists for Operations and R&D where needed

  • Organize and coordinate logistics for group meetings, including arranging venues, equipment, and catering

  • Setting up of interviews, as needed

  • Proficiency in all current Amgen technologies and platforms

  • Develop and maintain a system for organizing and prioritizing incoming calls and mail

  • Assist with the preparation, editing, and formatting documents, reports, and presentations

  • Manage multiple priorities in a constantly evolving environment

  • Lead the Quality administrative staff. Create a forum to discuss administrative systems, procedures, methods and controls, and share feedback, review emerging issues, new procedure, issues, etc. and or recommending/establishing changing procedures as appropriate

  • Maintain an unyielding level of confidentiality and integrity with all information that flows through the role

  • Being be part of the OLT SEAs team and you will work closely with the Operations EVPs Sr. Executive Associate

  • Additionally you will also be part of the Operating Team SEAs and will work with CEO Staff SEAs and senior level executives across the Operating Team

  • Seek feedback from executives and peers to continuously improve the administrative services including proposed process improvement and sharing of lessons-learned and adopting standard methodologies.

  • Additional responsibilities as assigned

What we expect of you

Basic Qualifications:

  • Master's

  • Bachelor's degree and 2 years of administrative experience OR

  • Associates degree and 6 years of administrative experience OR

  • High school diploma/GED and 8 years of administrative experience

Preferred Qualifications:

  • Bachelors degree and direct experience supporting senior executives for a large corporation

  • Experience working in biopharma industry

  • 5+ years of Administrative Assistant experience supporting large teams at different levels and in different geographic locations including remote workers

  • Experience handling multiple calendars including coordination across multiple time zones

  • Excellent travel and meeting planning skills

  • Excellent written, verbal, and presentation skills in communicating key business and clinical information including speaking in front of medium to large groups while using appropriate AV equipment

  • Ability to collaborate closely with cross-functional team members and effectively connect with internal and external business partners

  • Experienced level PC skills in MS Outlook, Excel, PowerPoint, and Word (i.e. word processing, presentations, and spreadsheet skills) as well as Cognos, SharePoint, Learning Management Systems and Skype

  • Outstanding organizational, time management, project management and communication skills

  • Ability to run multiple tasks, prioritize and meet deadlines

  • Critical thinking a requirement and includes joining dots, anticipating issues and resolving them independently

  • Ability to resolve issues with limited supervision

  • Ability to work in a fast-paced, deadline-driven environment

  • Absolute discretion and confidentiality, as well as judgment, creativity, flexibility and initiative in resolving issues

The expected annual salary range for this role in the U.S. (excluding Puerto Rico) is posted. Actual salary will vary based on several factors including but not limited to, relevant skills, experience, and qualifications.
