The Position

To provide national and regional convention marketing planning and execution to assigned Novo Nordisk, Inc. therapeutic areas. Assist Associate Director with development and execution of annual strategic convention plan and digital customer engagement platform. Manage outsourced contractor in all administrative functions in connection with convention planning.

 

Relationships

Reports to the Manager, Convention Marketing reports to the Associate Director, Convention Marketing of the Strategic Meeting & Event Management department. The Manager will have many cross-functional internal relationships including (but not limited) to the following teams: Diabetes/Obesity/Biopharm Marketing, Sales, Field Force Effectiveness, Digital Strategy, Market Shaping, Field Communications, Call Planning & Alignment, Promotional Review Board, Patient Marketing, Managed Markets, Trade, Corporate Communications, Legal, Regulatory, Medical Information and Medical Affairs. External relationships include various suppliers/partners a such as: Exhibits, Advertising, Digital Engagement, Housing, Travel and Warehouse/Fulfilment suppliers.

 

Essential Functions

  • Budget Management
  • Assist Senior Management in all aspects of budget planning, including monthly, quarterly, and year-end budget reconciliation as needed, budget development during the annual strategic planning phase and managing day to day shows and projects to or below allocated budgets
  • Convention Planning
  • Ascertain Brand goals and objectives for each convention in addition to KPIs for digital customer engagement platform in conjunction with Associate Director and Brand Marketing
  • Collaborate cross functionally to develop and recommend appropriate professional and consumer related trade shows in accordance with each brands strategic plan
  • Collaborate with partners and suppliers to recommend and develop key promotions around conventions, including pre/at show advertising, , media, sponsorships and interactive/educational exhibit related activities and items. All tactics must be measurable
  • Evaluate performance of exhibit, sales representatives, and competitors to formulate recommendations for program enhancement
  • Keep all content/tools integrated into digital customer engagement platform current, and explore new content/tools by working cross-functionally with internal teams at NNI and in conjunction with all agencies involved
  • Manage outsourced contractor to develop all pre and post-convention materials, including Tier 1 document, Tier 2 pre-show communication and pre-convention slide presentations (coordinating cross-functionally for Tier 1 conventions), post-show reports, literature orders, housing requirements, ancillary events and meeting planning/event needs, staffing needs and designated NNI process for staffing, registration website development/execution process and iEVENT app coordination and execution (for Tier 1 Conventions)
  • Onsite lead for all Tier 1 conventions; delivering pre-convention presentation, driving sales team performance and managing supplier teams to ensure exhibits are within budget and on time. Share responsibility and oversee preparation of outsourced contractor for Tier 2 on-site lead
  • Recommend and maximize exhibit property configurations that best meet the brand objectives for each show
  • Track and assist Sr. Management in driving performance of KPI goals, and incorporate into annual strategic planning template across the program
  • Strategic Planning
  • May prepare and submit legal/regulatory submissions for all aspects of digital customer engagement platform for conventions, maintaining timelines, uploading submissions, attending approval meetings and liaising/coordinating with all agencies involved
  • Work with Associate Director on digital customer engagement strategy for conventions by driving execution of the platform cross-functionally
  • Identify and recommend potential vendors for conventions, meetings, and symposia etc.
  • Oversee supplier(s) in charge of digital customer engagement platform, aligning suppliers along with the cross-functional areas to manage workflow and deliverables

    Physical Requirements

    30-40% overnight travel required.

     

    Qualifications

  • A Bachelor’s degree in relevant field or equivalent experience
  • A minimum of 5 years convention-related experience (i.e., convention coordinator/planner, etc.) in the pharmaceutical industry required. Ability to multi-task on multiple projects
  • Pharmaceutical Industry experience required
  • Intermediate proficiency in Microsoft Word, Excel, and PowerPoint required
  • Ability to provide direction and follow up to ensure requests are completed
  • Detail-oriented with a strong attention to quality results
  • Experience with legal/regulatory review processes desired
  • Strong negotiator
  • Strong organizational & time management skills
  • Team player with the ability to work independently
  • Working knowledge of FDA regulations and PhRMA guidelines strongly desired
