Job Details
The Coordinator provides project and document support and coordination with various operational activities and tasks related to the controlled document development lifecycle. This role needs to work independently to understand a complex environment with multiple options for completing tasks and fulfilling requests.
Responsibilities include:- Responsible for streamlining, organizing, and maintaining Team files and repositories, such as Teams Channels and folders, PowerPoint and excel templates.
- Support maintenance of the P&P Playbook and associated tools
- Actively manage stakeholder and contact lists
- Maintain inventory of Impact Assessment items post-Project close-out
- Support streamlining of outputs for reports and presentations to avoid multiple formats (note: word tables, excel spreadsheets, slide decks, various slide deck formats and copies of the same content/information)
- Support P&P operations by performing the following Project Management activities:
- Support the creation of project plans according to P&P standards.
- Responsible for entering and maintaining resources in the resource app.
- Support with identification and compilation of metrics, as necessary
- Support P&P communications by performing the following activities:
- Support updates to P&P communication templates and associated SharePoint site updates
- Support for coordinating logistics of internal/external meetings, including finalization of agendas, presentations, recording minutes, and following up on actions.
- Support onboarding activities by performing the following activities:
- Organize, streamline and maintenance of all relevant materials for onboarding new Team members
- Support onboarding activities such as coordination with IT, Facilities, Procurement, and space planning
- Demonstrates competency with managing complex projects in a global regulated organization
- Experience in using Electronic Data Management System (EDMS)
- Advanced experience in Microsoft Office (expert in MS Word, Excel)
- Self-motivated with the ability to work independently
- Proven ability to work effectively with competing priorities
In order to be considered qualified for this role, we expect you to have 2+ years of meaningful experience and a bachelor's degree.
