About the role:

The Executive Assistant, Senior Support provides high-level administrative and secretarial services to senior executives. This role is essential in managing complex schedules, handling communications, and ensuring smooth operational workflows, thereby contributing to Takeda's mission of delivering Better Health and a Brighter Future. You will report to the VP – Head of Global Medical Neuroscience Franchise.

How you will contribute:
  • Manage complex schedules and make travel arrangements

  • Handle a high volume of emails

  • Prepare detailed documents and edit for clarity and accuracy

  • Manage filing systems and retrieve necessary documents swiftly

  • Analyze data and compile comprehensive reports to support decision-making

  • Design and maintain specialized databases

  • Provide assistance and training to lower-level employees

  • Conduct research to gather critical information

  • Create detailed reports and present findings clearly

  • Design and deliver impactful presentations

  • Manage multiple tasks and projects with high precision and professionalism

  • Engage in strategic communications with contacts both within and outside the organization Skills and qualifications:

  • Proficient in managing complex schedules and making travel arrangements

  • Experienced in handling a high volume of emails and prioritizing tasks effectively

  • Experienced in preparing detailed documents and editing for clarity and accuracy

  • Designing and maintaining specialized databases

  • Demonstrate leadership in managing and motivating administrative teams

  • Conducts thorough research to gather critical information

  • Generates detailed reports and presents findings clearly

  • Designs and delivers impactful presentations

  • Manages multiple tasks and projects with high precision and professionalism

  • You will utilize your specialized skills to solve complex tasks, often supporting an executive at a senior level. You will excel at identifying innovative solutions to administrative challenges and handling assignments that demand judgment and initiative. This position requires a deep understanding of job processes, procedures, and systems, typically accompanied by solid experience in a similar role. You will frequently engage in strategic communications, requiring skill and diplomacy, with contacts both within and outside the organization.,

  • You will work independently within established procedures and practices.

Minimum Requirements/Qualifications:
  • Bachelor's degree is preferred

  • 5+ years of administrative support at the Director or VP level in a complex global environment is required.

  • Experience managing scheduling and travel for at least 6 individuals is required; experience with international travel and supporting US and non-US based individuals is desirable.

  • Extensive working knowledge of MS Word, Excel & PowerPoint, including advanced knowledge of MS Outlook is essential

U.S. Hourly Wage Range:

$26.92 - $42.31

The estimated hourly wage range reflects an anticipated range for this position. The actual hourly wage offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.The actual hourly wage offered will be in accordance with state or local minimum wage requirements for the job location.

U.S. based employees may be eligible for short-term incentives. U.S.based employees may be eligible to participate in medical, dental, vision insurance, a 401(k) plan and company match, short-term and long-term disability coverage, basic life insurance, a tuition reimbursement program, paid volunteer time off, company holidays, and well-being benefits, among others. U.S.based employees are also eligible to receive, per calendar year, up to 80 hours of sick time, and new hires are eligible to accrue up to 120 hours of paid vacation.
