The Legal department is comprised of our Legal and Patents functions. This position is located in Plainsboro, New Jersey and follows all Novo Nordisk Inc. guidance for remote/in office dedicated time.  EST time zone hours.   

 

The Position

Will focus on legal billing, reporting, analytics, and projects, you will be instrumental in managing financial aspects, generating insights through data analysis, and driving process improvement initiatives and other key optimization initiatives within the legal operations function. Your role will involve overseeing legal billing and invoice processes, crafting meaningful reports, leveraging data analytics, and supporting project management activities across the legal department.  

 

Relationships

Reports to Lead, Legal Operations and Projects. Partners and collaborates with internal teams including Legal, Finance and Procurement to achieve operational objectives in support of legal strategy.   Interacts with individuals in other NNI departments, global headquarters, and affiliate companies. Also interacts with external law firms, eDiscovery and software vendors, government agencies, and business entities.

 

Essential Functions

 

Legal Billing Management

  • Manage the end-to-end legal billing process, including invoice review and partnering with accounts payable
  • Collaborate with finance and legal teams to ensure accurate and timely billing, chargebacks/cross charges, and expense tracking
  • Implement best practices for billing guidelines and compliance as well as internal controls
  • Review and draft/update policies, procedures, QRG and work instructions
  • Reporting and Analytics

  • Develop and produce regular and ad-hoc reports on legal spend, matter management, and performance metrics to facilitate informed decision-making
  • Utilize data analytics to identify cost-saving opportunities, track key performance indicators, and assess the efficiency of legal operations
  • Collaborates and drives spend management, analyses and reporting initiatives in partnership with resources at Global Business Services (GBS)
  • Financial Analysis and Forecasting

  • Conduct financial analysis to support budgeting, forecasting, and variance analysis for legal expenditures
  • Provide insights into financial trends, risk assessment, and resource allocation to optimize financial outcomes
  • Project Management

    • Lead and participate in various projects for the legal department, such as process improvements, technology implementations, and vendor evaluations
    • Collaborate with cross-functional teams to drive initiatives aimed at enhancing operational efficiency and effectiveness

     

    Compliance and Audit Support

    • Support internal and external audits related to legal billing and financial processes
    • Handles highly confidential matters with discretion and judgment

     

    Qualifications

  • A Bachelor 's degree (preferably in Finance, Business Administration, Legal Studies or realted field) required; relevant experience may be substituted for degree where appropriate
  • A minimum of 8 years of expereince in legal operations, financial analysis, and/or project management within a legal environment required
  • Proficiency in legal billing software and platforms, with a strong understanding of outside counsel billing guidelines and e-billing systems
  • Demonstrated ability to analyze and interpret financial data, generate reports, and derive actionable insights
  • Project management skills, including the ability to initiate, plan, execute, and close projects effectively
  • Strong attention to detail, accuracy, and compliance with financial and billing processes
  • Familiarity with regulatory compliance, audit processes, and financial controls
  • Excellent communication, collaboration, and stakeholder management skills
  • Ability to work autonomously with minimal guidance
  • Pharmaceutical or other regulated industry experience preferred
  • Effective time management skills. 
  • Ability to handle multiple projects simultaneously.
  • Strong analytical, research, and organizational skills required.
  • Strong organizational, planning and follow-through skills.
  • Strong verbal and written communication skills required.
  • Self-starter; flexible, client-focused, and have a professional demeanor.
  • Proficient in Microsoft Office, Excel and PowerPoint.
