General Summary 

4DMT needs a motivated, team-oriented, experienced Senior Administrative Assistant to support the Clinical Development Operations Leadership Team.  

The primary function of this role is to support the administrative needs of the Senior Vice President and Vice President of Clinical Development Operations and department members. 

This is a hybrid position with onsite, in-office days arranged according to the business needs and determined by the hiring manager.  

Responsibilities 

  • Proactive Calendar Management: Management of daily calendars and department schedules. Coordinate key meetings with multiple calendars of senior members of the department.  Align priorities by effective communication across various stakeholders, especially administrative colleagues. 
  • Meetings Support: Manage departmental meetings, including scheduling, collecting agenda items, and completing action items and follow-up meetings and topics. 
  • Conference Logistics Coordination: Plan and coordinate logistics of conferences and off-site meetings/events required throughout the year. Partnering with administrative and other team members to coordinate advisory board logistics, speaking engagements and potential ad hoc conference interactions.   
  • Travel Planning: Arrange domestic travel, including air and ground transportation, hotel reservations, out-of-town dining, and car rentals. Complete registration for conferences and events. Prepare and update itineraries as arrangements change. 
  • Expense Reporting: Monthly reconciliation of expense reports using Nexonia expense system. Collect and submit receipts following 4DMT policies staff as directed. 
  • Purchasing, Contracts, Invoices: Process contracts, purchasing, and payment processing using Ironclad and Coupa systems according to departmental needs. 
  • Ad Hoc Project Support: Provide non-routine administrative support to management, work team and/or department, adapting as necessary, employing direct communication and determining urgency and prioritization. 
  • Document/ Presentation Production: Prepare and process departmental documentation, meeting agendas, and non-routine correspondence as requested. Employ SharePoint and any department-specific platforms to manage documentation as directed by Clinical Operations leaders. 
  • Back Up Support: Provide occasional backup support to other members of the 4DMT Administrative Team during PTO or during times of peak activity as requested and approved by the manager 
  • Other Duties: Coordination of other projects and tasks assigned by the hiring manager.  Nothing in this job description restricts management’s right to assign or reassign duties and responsibilities to this job at any time

Qualifications 

Education:  

  • B.A. (or equivalent degree) and 3-5 years of relevant work experience, or 
  • H.S. Diploma, A.A. or A.S., and 5-8 years of relevant work experience 

Skills:  

  • Adept at managing electronic calendars (Outlook preferred); experienced user of Microsoft Office Suite (i.e., PowerPoint, Word, Excel, and shared collaborative tools such as Teams and SharePoint 
  • Experience with procurement, expense reporting, and contract management tools. 
  • Ability to quickly learn new technologies and become proficient in desktop systems/internal software necessary to perform assigned tasks successfully. 

Physical Requirements of the Role: 

  • Ability to move and lift at least 10 lbs. for setting up catering and occasionally receiving small shipments or setting materials up at events 
  • Excellent communication skills, both written and verbal 
  • Primarily method of work requires computer use and long periods of sitting 

 

Base hourly compensation range: $37.02 -$52.88

4DMT is a gene therapy company with a transformative discovery platform --Therapeutic Vector Evolution --that enables our “disease first” approach to product discovery and development, thereby allowing us to customize our AAV vectors to target specific tissue types associated with the underlying disease.


At 4DMT we are creating and developing optimized “biopharmaceutical grade” AAV vectors that will allow us uniquely to unlock the full potential of gene therapy. Our customized and proprietary AAV vectors are each designed, according to a 4DMT Target Vector Profile, to deliver genes to specific cells and tissues in the body to eradicate both rare and large market diseases.


While AAV gene therapy pioneers are making great strides with the first wave of products, hurdles still exist with the use of conventional vectors. The most commonly used AAV capsids (e.g., AAV2, 5, 8 and 9) were identified either 1) as contaminants in lab stocks of adenovirus, or 2) through monkey tissue processing. Therefore, these conventional vectors are not targeted specifically to any tissue in the body. This can lead to inefficient and non-specific delivery, thus requiring extremely high doses and potentially resulting in toxicities (including inflammation), high manufacturing burdens and suboptimal efficacy. In addition, suboptimal routes of delivery can be required for delivery to the right tissues (e.g., subretinal delivery to the retina). Finally, pre-existing neutralizing antibodies in many patients can limit efficacy, clinical trial enrollment and market sizes. 4DMT Innovation empowers us to create new and improved next generation AAV capsids to allow targeted delivery of our products by the optimal clinical route of administration.


At 4DMT we use our robust discovery platform, termed “Therapeutic Vector Evolution,” to create customized and proprietary gene delivery vehicles (novel AAV vectors) to deliver genes to specific tissues and cells in the body by the optimal route of administration. We use the power of evolution to create and refine these optimized vectors through genetic diversification and then natural selection in vivo.
