Responsibilities

- Amenities and Events

- Responsible to make on the spot decisions while performing room setup/breakdowns.
- Triage on the spot issues assigning appropriate tasks to facilities coordinators
- Support Amenities and Events requests as needed, including monitoring assistance and other tasks related to meeting rooms, cafeteria, fitness center, coffee bar, and pantries
- Support the leader of Facilities Services with managing outlook conference room calendars for entire building
- Backup to leader of Facilities Services on large scale event meetings, collaborating with other departments to ensure smooth large scale hybrid meetings
- Facilities Services

- Support and execute facilities and maintenance tasks
- Support and manage movement of furniture as needed
- Manage reconciliation of purchase card reports for vendors
- Backup to leader of Facilities Services on desk registration system
- Backup to leader of Facilities Services for FDA inspections
- Manage Facilities home page on intranet, review content regularly, upload new documents and remove out of date ones.
- Create and maintain budget spend sheets for Facilities vendors
- Manage the Facilities mailbox, responding to messages and assigning requests as required
- Coordination and Support

- Coordinate with leader of Facilities Services to determine project related daily/weekly tasks and responsibilities
- Track and prioritize daily and weekly tasks, escalate issues to Manager
- Run reports to monitor and track service tickets
- Provide ad hoc support to leader of Facilities Services as needed
- Report and escalate issues to leader of Facilities Services
- Provide a high level of customer service to internal and external customers through approachable and proactive attitude
- Provide support for leader of Facilities Services on building management tasks
- Backfill leader of Facilities Services on projects as needed
- Security, Protocol and Reception

- Partner with Security to support coverage for Reception at the front desk, including the greeting of visitors and employees, management of deliveries, and answering phones when needed
- Partner with Security to facilitate and execute emergency management and safety procedures
- Support Security manager with security badge creation.
- Provide training when necessary for new receptionist staff.
- Triage tickets from facilities mailbox to security team as needed

Education Qualifications (from an accredited college or university)


- High School Diploma required
- Bachelor's Degree preferred Experience Qualifications

Experience
- 4 or More Years experience in Facilities Services required
- 1 or More Years experience in a Corporate environment preferred
Physical RequirementsAble to lift and move boxes weighing up to 50 pounds 25%% of Time
