Summary:
 
Reporting directly to the Sr. VP, Commercial Manufacturing & Supply Chain, the Executive Assistant will provide executive support to the Sr. VP, Commercial Manufacturing & Supply Chain and the VP, Commercial & Project Team Leader and their respective departments. The commercial teams are growing rapidly both within the US and internationally, this role will be key in coordinating and streamlining communications.  The Executive Assistant must be responsive to dynamic organizational needs and drive best solutions to achieve company priorities. The Executive Assistant will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. 
Essential Functions:
    • Be the executive’s force multiplier:
    •    Optimize and ensure their preparation and effectiveness.
    •    Anticipate and manage meeting, travel other logistical demands.
    •   Proactively and strategically manage their calendar, prioritize and update based on solid understanding of the context for requests.
    •    Understand and help prioritize key strategic initiatives and tasks.
    •    Represent Vaxcyte to several external constituents.
    •    Attend important meetings, take notes and manage follow-up.
    •    Organize and execute team functions such as team building, and offsite events as requested.
    • Build cross-functional relationships at all levels of the Company to ensure understanding of the business, leaders and workflow.
    • Collaborate and partner closely other EAs regarding company-wide activities, cross-functional meetings, etc.
    • Engage in company-wide culture team activities, including logistical support.
    • Develop an understanding of the team and field requests from all contacts, making a point to be available and approachable.
    • Provide ad-hoc support as requested to individuals across the executives’ teams.
    • Demonstrate composure and flexibility, regardless of competing priorities.
    • Find new and efficient ways to create work processes to help maximize your executives' time, including weekly reporting, goal-tracking and team meetings.
    • Manage, and assist them in managing, teams across multiple domestic and international time zones.

Requirements:
    • Bachelor's degree with a minimum of 10 years’ experience supporting executive level leaders, preferably in the Biotech or Life Science field.
    • Exceptional organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with attention to detail. 
    • Strong interpersonal skills and the ability to build relationships. Demonstrates emotional maturity and a track record of developing strong credibility and trust with all levels within the organization.
    • Exceptional communication skills, both written and verbal.
    • Proven project management skills with experience driving internal and external events and business deliverables.
    • Solutions-orientedindividual who can detect problems early and actively seeks opportunitie and proposes creative and practical solutions. 
    • Resourceful with ability to be effective working independently or as part of a project team. 
    • Proven ability to handle confidential information with discretion and discernment and demonstrate the highest level of customer/client service and response.
    • Demonstrated ability to achieve high-performance goals and meet deadlines while managing changing or competing demands. Thrives in a fast-paced, growing organization.
    • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Zoom.
    • Ability to work onsite 3 days a week required.

Location: San Carlos, CA
 
Compensation:
The compensation package will be competitive and includes comprehensive benefits and an equity component.
 
Salary Range: $132,000 – $145,000
