Job Details
The Information and Records Management department at Regeneron is adding to their team! The Archives Coordinator provides records management support and consultative services for the program with a focus on records collection, cataloguing records data into a content management system, and paper records scanning effort. This person will implement defined procedures to ensure compliance with IM policies and standards, describe procedures and standards to others, interpret instructions and maintains procedures documentation.
Shift available:
2nd Shift: Monday - Friday, 2pm-10:30pm
In this role, a typical day might include the following:
Classify and process information according to IM/IG procedures so that related information assets are linked, retrievable, and meet organizational compliance requirements
Coordinates the transfer of documents to the off-site archives/repositories, to include the documentation, tracking and shipment of records
Implements retention schedules and creates destruction notifications for approval; works closely with departmental representatives to review and update materials and gain approval for destruction
Processes obsolete information for destruction, coordinates the disposition of obsolete information. and destroy, delete, or transfer information assets in accordance with IM/IG policies and procedures to meet the organizations compliance requirements
Pulls, routes and refiles all media and routes obsolete media to the proper departmental area or to a vendor for accurate disposition
Monitors environmental conditions of room and acts based upon pre-defined criteria
Archive completed GLP and non-GLP study raw data, protocol, reports, equipment logs and electronic data/records, and any other relevant documents following the appropriate cataloging system based on current SOPs
Serve as the SME for the GLP Archives and the point of contact for any related projects, audits or health authority inspections
Collect metrics and compiles statistics on projects for inclusion in monthly reports
Support and train others in the use of technology to accomplish tasks that support IM program objectives.
This role may be for you if you:
A certification in Records Management or Information Management (e.g., CRM, NARA Records Certification, AIIM records-related certification).
Knowledge of Federal laws and National Archives and Records Administration (NARA) policies and procedures relating to records management
Knowledge in GLP archival, records and information management, or library sciences
Experience with Microsoft Office Word, PowerPoint, Excel, Access, and Outlook
Experience with Electronic Records Management Systems (e.g. OpenText, Viva)
Demonstrated attention to detail, organizational skills and ability to work in a team environment under time restraints
Demonstrated problem-solving skills with strong verbal and written communication skills
May require 5-10% travel based on business needs
To be considered for this role, you must hold a Bachelors degree in Library Sciences, English or related major and the following minimum amounts of professional and relevant records management/archivist experience, preferably in the Biotech/Pharmaceutical industry, in record/information management and/or library sciences, for each level:
Assoc. Archives Coordinator 0 - 2 years
Archives Coordinator - 2+ years
May substitute proven experience for education requirement. Level is determined based on qualifications relevant to the role.
