Administrative Coordinator
What you will do
Lets do this. Lets change the world. In this vital role you will provide complex administrative support to various team members within the Ultra-Rare Medicines team.
- Ensures timely coordination of department members administrative needs:
o Manages multiple and/or or complex team calendars (Outlook)
o Coordinates local and international travel, meeting arrangements, visitor accommodations, and processes expense reports for department travelers
o Organizes meeting rooms, including logistics, catering and equipment needs
o Prepare and process forms, documents and correspondence; anticipates, revises and sends correspondence Making travel arrangements and preparing expense reports - Assisting with special projects
- Coordinating processes including invoicing, purchase orders, mailings and courier/deliveries
- Maintaining department email distribution lists
- Preparing agendas and taking action-items as the need arises
What we expect of you

Basic Qualifications:Associates degree and 2 years of administrative experience
OR
2 years in a technical school setting with hands-on experience
OR
High school diploma / GED and 4 years of administrative experience
Preferred Qualifications:- 5+ years experience in an administrative support role
- Strong Outlook, Excel, PowerPoint Skills
- Knowledge of SAP, WebEx, MSTeams, SharePoint and Concur
- Experience working in biopharma industry
- Strategic problem solver who loves to think ahead and anticipate solutions to logistical issues
- Ability to work in a fast-moving, results oriented environment
- Discretion in dealing with proprietary information
- Helpful, can-do attitude with a solution-oriented approach
- Polite and personable team player
- Skilled at remaining calm under pressure
