About This Role 

The Senior Program Manager, PMO will be responsible for driving complex product development programs from concept to commercialization by effectively leading cross-functional team members through program planning and execution activities. The successful candidate will utilize industry best practices in project management to deliver programs on-time and on-budget.

The role is viewed as a leader in a matrix environment, acting as the Program Team Lead in partnership with key functions such as R&D (SW and HW), Product Management, Product Marketing, RA, QA, Ops and Service. This role will have the opportunity to strongly influence project management practices in an exciting and rapidly growing startup company, while utilizing data and metrics to monitor project management performance and identify improvement opportunities. 


What You Will Be Doing 

  • Lead programs ranging from new product development, sustaining to business process improvements
  • Drive all programs to be properly scoped, prioritized, and resourced to minimize program risk, deliver on-time and on-budget
  • Oversee large and distributed cross-functional teams in detailed program planning, starting with work breakdown structure and effort estimation activities to develop detailed program schedules for execution
  • Ensure that design control, regulatory compliance, manufacturing, service, and other requirements are well understood by program teams, captured and built into program plans
  • Manage program schedules by identifying critical path, constraints, contingencies, and mitigations to achieve target schedule and budget
  • Provide clear communication to Functional Leaders and key stakeholders on program status, highlight critical path and potential areas of risks with mitigations
  • Develop and cultivate partnerships with key cross-functional stakeholders in R&D (SW and HW), Product Management, Product Marketing, RA, QA, Ops and Service to establish a collaborative program work environment focused on achieving company program goals and results
  • Other duties as assigned

Where You Will Do This Job  

  • Hybrid - This position will allow the successful candidate to work on a Hybrid work location schedule. They must be based in the greater SF Bay Area and must be able to commute into the RefleXion office in Hayward 1-4 days a week, depending on the role.

What We Need

  • Bachelor’s degree in engineering, business, finance or related field
  • 8+ years of experience managing complex cross-functional programs
  • 5+ years of experience in regulated medical device or health care environment (FDA 21 CFR Part 820, ISO 13485)
  • The ability to travel up to 10% both domestically and internationally
  • Solid understanding of new product development lifecycle including, but not limited to, design control, new product introduction and commercialization processes
  • Strong project management background utilizing Waterfall and Agile methodologies to manage program schedule, scope, budget, issues, and risks
  • Proven ability to lead and influence in a cross-functional team environment with large number of team members on a variety of programs
  • Excellent negotiation, facilitation, collaboration, and problem-solving skills with expertise in conflict resolution
  • Results-driven, operates with a sense of urgency to work through obstacles and escalate for rapid decision making
  • Self-motivated with the ability to multitask effectively and handle ambiguity effectively in a fast-paced environment

Ways To Stand Out

  • Bachelor’s degree in an Engineering discipline strongly preferred; business, finance or related field will be considered in conjunction with experience
  • Experience managing complex cross-functional programs with software, electrical, or mechanical product development strongly preferred 
  • Certification in Project Management (PMP) or ScrumMaster highly desired
  • Project management tools experience with Smartsheet, JIRA, and Resource Management solutions a plus

The pay range for this role is $120,000 - $190,000 a year.  Actual compensation packages are based on several factors that are unique to each candidate, including but not limited to skill set, depth of experience, certifications, and specific work location. This may be different in other locations due to differences in the cost of labor. The total compensation package for this position may also include bonus, stock, benefits and/or other applicable variable compensation.
