Job Description

Job Title: Project Coordinator, EHS (Environmental, Health & Safety)

Reports to: Head of EHS Takeda Boston

Location: Cambridge, MA

About the role:

The EHS Project Coordinator supports the local EHS team at the Takeda campus in Cambridge, MA. You will provide a high level of administrative support for the EHS team, operates as the department's internal systems expert, coordinates all EHS reporting and performs routine data entry and tracking, and manages the life cycle of all EHS business records in digital and paper form, coordinates all documents, and scheduling for audit situations, and manages and participates in departmental process improvement projects.

How you will contribute:

You will report to the Site EHS Head, and will:

  • Provide high-level administrative support for the EHS team: PO processing, filing, business correspondence, meeting coordination, permitting/licensing assistance, maintaining office supplies, event planning and logistics support, and special projects.

  • Be the internal systems expert for the EHS department: financial systems, HR systems, IT systems, SharePoint, MS Office, and Learning Management Systems; maintain departmental and EHS Team SharePoint sites (architecture/function updates, manage content/libraries, recommend SharePoint solutions, ensure annual content review by content owners)

  • Manage EHS reporting (internal/external): collect/process data for standard reporting/tracking; develop/coordinate data tracking/reporting system improvements

  • Be the EHS Business Records Manager: maintain departmental record-keeping, filing, archiving, and records retention (digital and paper) according to internal standards; coordinate internal/external audit logistics and documents (act as the point person for documents -- gather, organize, build/maintain a record of audit); manage regular review/update of core EHS documentation (policies, manuals, SOPs)

  • Manage, and participate in departmental process improvement projects and other projects as they emerge (e.g., SharePoint solutions, data management solutions new program/system implementation

  • Complete other EHS administrative support responsibilities/projects

  • Coordinate EHS training for the site – track the training record, create, archive, and assign training to new employees

  • Work and communicate with all partners and direct people to appropriate resources

What you bring to Takeda:

Essential Skills:

  • Technical Bachelor's Degree

  • 5+ years of experience in a similar work environment.

  • Proficiency with Microsoft Office (Word, PowerPoint, Outlook, Teams), with expertise in Excel and SharePoint

  • Excellent data and file management skills

  • The ability to learn new IT systems


  • The ability to work alone or on a team

  • A proactive approach and comfortable working on a dynamic, collaborative, process-oriented team.
